Registration fees

The full-conference rate gives access to all activities over 5 days, including:

  • workshops & tutorials
  • plenary talks, parallel tracks & panel discussion
  • welcome cocktail & poster sessions
  • coffee breaks & lunch boxes

The social event (banquet) on Thursday, August 11 evening, comes at an additional cost of €69 per person. Excellent onsite housing is also proposed at special low rate of €74 per night (single rooms, modern comfort, recently renovated): see more information at the bottom-right of this page.(3) Sorry, onsite housing reservation is now closed. Student

Student fees are reserved for full-time undergraduate and graduate (Master’s, Doctorate) students enrolled in accredited educational institutions. To belong to this category, you must be actively pursuing an undergraduate or graduate academic degree, with or without scholarship. (Postdocs, staff scientists and research engineers are not students: see other categories below.)

Academic

Academic fees are reserved for post-doctoral researchers, university faculty (academic staff), researchers (research scientists, staff scientists), research engineers or technicians (with or without doctoral degree) and any other personnel (administrative, support) employed by an accredited academic institution who are not currently pursuing an undergraduate or graduate academic degree.

Individual fees apply to any other category of attendees: industry and business professionals, researchers, engineers and other employees of companies or non-academic organizations, unaffiliated individuals, etc.

(1) ISAL membership

We are glad to announce that, starting this year, the ECAL conference series has united with the International Society of Artificial Life (ISAL).

ISAL is an international professional society dedicated to promoting scientific research and education relating to artificial life. In particular, ISAL organizes the biannual International Conference on Artificial Life (Alife series) and publishes the preeminent scholarly journal Artificial Life through MIT Press (also publisher of the ECAL proceedings this year).

Membership to ISAL is $75 = €54 (regular) or $70 = €50 (student) and provides:

  • a 1-year subscription to the Artificial Life journal;
  • discounted registration at major conferences on artificial life, such as the Alife series, and now ECAL.

Thus before you register to ECAL 2011, you can decide to become a member of ISAL, or renew your ISAL membership in order to benefit from the reduced registration rates marked “ISAL” above. Otherwise, the “non-ISAL” rates apply.

 
>> New instructions: ISAL memberships are valid for calendar years, and it is members during 2011 who receive reduced rates at ECAL’11:

  • If you joined ISAL when registering for Alife XII in 2010 (Odense, Denmark), then your membership is valid through 2012 and you can already select reduced rates at ECAL’11 without subscribing again.
  • If you joined ISAL when registering for Alife XI in 2008 (Winchester, UK) and have not renewed yet, then you must renew your membership to be able to select the discounted ECAL’11 rates.
  • Those who joined ISAL not through an Alife conference but as an individual get a discount at ECAL’11 if and only if their membership is current through 2011.

(2) Workshops-only rates

The ECAL 2011 conference is pleased to give artificial life researchers the opportunity to organize satellite workshops and tutorials in two “bookend” sessions, on the first day and last afternoon. Accordingly, it also offers attendees the possibility of a special reduced registration rate (variable by category) for anyone who wishes to come to these sessions only, but not to the main conference.

The workshops-only rate gives you access to all workshops and tutorials taking place on Monday, August 8 (morning and afternoon) and Friday, August 12 afternoon — excluding the period from Tuesday 9 through Friday 12 morning. It includes all coffee breaks and one lunch box on each day.

Online registration instructions

0. Before registering to ECAL, please decide whether you want to be member of the ISAL society for 2011, in order to benefit from discounted conference fees and a journal subscription (see explanation at the bottom-left of this page)(1):

Note: if a 3rd party is paying for your ISAL membership by credit card, then the billing contact information in the PayPal system will not bear your name. In this case, please send an email to society@alife.org to specify the member’s name who should receive the Alife journal issues.

1. Then, to register to the ECAL conference and/or the workshops, please follow a two-step process:

Please read instructions below carefully:

1.a. “Personal information”: Please enter your home address and personal contact information (if possible, with cell phone number).

If you are registering for the second time, because you want to upgrade to the full conference, or add room nights and/or banquet tickets, then you must enter another email address than the one you used during your first registration. This is because registration records are referenced by unique email addresses and cannot be modified after payment. However, please do enter your first name and last name exactly as they appeared on the first registration record.

1.b. “You are”: This field is for statistics only and does not play any role in the pricing rate, which you must choose in the other drop-down menu.

1.c. “Tarification”: This field is the pricing rate and is mandatory (despite the missing asterisk *). Please select your fee category (Student, Academic, Individual) according to the description on the left-hand side of this page and, within each category, whether you are attending the whole conference as an ISAL member(1) or as a non-member, or you are attending the workshops only(2).

New categories were recently added for participants who have already registered to the workshops and want to upgrade to the full conference. They must select one of Academic/upgrade, Student/upgrade or Individual/upgrade, and in each case whether they are ISAL or non-ISAL. (Later in the process, they will also have the option of adding room nights and/or banquet tickets.)

Another new category called “Special” (zero fee) is reserved for participants who have already registered to the full conference and only want to add room nights and/or banquet tickets.

1.d. “Your organization”: Enter your institution, office address and professional contact information.

1.e. Click “Ok”: This will notify the conference registration management that you have requested pre-registration. You need to wait for their confirmation email before finalizing registration.

2. After your pre-registration request is validated by the conference registration management, you will receive a notification email letting you know that you can proceed to the registration proper:

Please read instructions carefully:

2.a. “Extra information”: Enter your arrival at, and departure from, *the ECAL conference* (in day/month/year format) — at the earliest Sunday 07/08/2011 evening and the latest Friday 12/08/2011 evening. If you happen to arrive before or stay longer in Paris or in Europe, do not enter these other dates, only the conference dates.

2.b. “Payment”: If you are going to pay the invoice yourself (i.e., by credit card or bank transfer from your own account), and whether or not you intend to file a reimbursement claim with your organization later on, then you must select the “You” option. If someone else or your organization is going to pay upfront on your behalf (i.e., the money is not coming from your own account), then you must select the “Someone else” option.

2.c. “Invoice”: Extras for full-conference attendees (with no distinction between oral/poster presenters and others). We highly recommend that you book one of the special-rate rooms(3) on the campus of Cité Universitaire, where ECAL is taking place. For this, please select the exact nights that you need. Sorry, onsite housing reservation is now closed. Please see the Travel page for information about hotels, thank you. Also select up to four tickets for the banquet if you are accompanied by family and/or friends (following the checkbox order).

2.d. “Online payment/Other payment”: Select “Online payment” (credit card) if you are paying on your own. If your administration’s rules request a purchase order, then select “Other payment method” (bank transfer). Attention CNRS employees: in your case, you MUST select the transfer payment method, NOT the online payment method: “Les participants qui s’inscrivent via un labo CNRS doivent payer par facturation interne (bon de commande X-lab) et en aucun cas par CB, chèque, virement ni carte achat.”

(3) Onsite accommodation (closed)

Sorry, onsite housing reservation is now closed. Please see the Travel page for information about hotels, thank you. A limited number of single rooms (about 100) have been pre-reserved for full-conference attendees (with no distinction between oral/poster presenters and others) in the French-British College (College Franco-Britannique), one of the historical buildings on the campus of the Cité Universitaire, and a 2mn walk from the Maison Internationale, the main venue of ECAL’11.

These rooms were very nicely renovated only a few years ago, and have each their own bathroom with shower, a refrigerator, and all necessary connections for phone, TV and unlimited high-speed internet.

At an incredibly low (and Un-Parisian) rate of €74 per night, we highly recommend booking one of these! To do this, simply tick the appropriate checkboxes for the nights you need in the “Invoice” form of the registration system (just follow the online instructions above and you will know when you see it). Attention workshops-only attendees: you must make housing arrangements on your own, thank you for your understanding. We are sorry we cannot accommodate couples, either. The Cité Universitaire has only few studios and most of them are already occupied by visiting scholars all year long.
